Front of House Assistant

Purpose of Role

The Front of House Assistant is the first point of contact for visitors calling or visiting our client's office and is a brand ambassador for VWV.  Duties include welcoming clients and visitors to the office, handling switchboard calls, organising and preparing hospitality and offering administrative support to the firm.  Every task which is undertaken must be delivered with an exceptional customer service approach.

A successful Front of House Assistant should have a welcoming and pleasant personality, with the ability to easily build rapport with people.  They'll be able to deal with urgent tasks in a timely and effective manner, and the ability to multitask is important for this position.  The role requires working in shifts, so flexibility is a plus.  This is a hands-on role and will involve working alongside a great team to deliver the overall service.

Key Responsibilities

  • Meeting, greeting and interacting with clients and staff offering a 5* customer service
  • External and internal call and email handling including taking and passing on accurate messages
  • Processing and confirming meeting room booking requests and meeting room management
  • Hospitality duties including setting up meeting rooms, putting out refreshments and keeping all client areas clean, tidy and to a high standard
  • Updating logbooks and schedules
  • Processing deliveries
  • Populating data collection workbooks
  • Raising any concerns about process, practice or incidents as appropriate
  • Preparing post and arranging time sensitive deliveries
  • General administrative assistance such as printing and document preparation
  • Actioning any reasonable task instructed by your Team Lead or the Team Manager

 

Who Are We Looking for?

  • Reception or client services experience is essential
  • A proactive, can-do approach that shines through in your work

  • A natural passion and desire to make every visitor smile
  • A committed attitude and dedication to creating memorable guest experience
  • Fluent written and spoken English
  • Experience using email and Microsoft packages
  • Excellent personal presentation

 

Where Will I Be Working?

Whilst as a firm we do offer a hybrid working model, there are some roles that require 100% office attendance due to business need. As a Front of House Assistant, you will be expected to be based in our Watford office Monday - Friday.
